Faculty
Departmental faculty shall normally be expected to follow work schedules that conform to the academic calendar. They do not earn or accrue vacation days but may observe University term or holiday break periods that are designated by the President
Faculty on 12-Month Appointments
Faculty who are on 12-month appointments will follow the University's administrative calendar. Eligibility for continuous or non-continuous vacation will be designated in the offer letter. Those with continuous vacation eligibility will accrue vacation at the rate of two working days per month. Those with non-continuous vacation eligibility will be provided two days of vacation for each contract month. Non-continuous contracts require that any earned vacation be used prior to the final date of the employment period defined in the official notice of appointment or prior to the last date of employment (e.g. through resignation, etc.), whichever comes first. Vacation rates and maximum balances are prorated based on percentage of appointment for both continuous and non-continuous appointments.
Administrative Professional (AP)
Administrative Professional exempt positions designated to follow the University's academic calendar do not earn and accrue vacation benefits but instead observe University term or holiday break periods as designated by the President, such as Fall, Winter or Spring Break.
Continuous: All other continuous exempt Administrative Professional positions and all continuous nonexempt Administrative Professional positions follow the administrative calendar and are eligible to earn and accrue vacation at the rate of two working days per month. Accruals and maximum levels are prorated based on percentage of appointment.
Non-continuous: All other non-continuous Administrative Professional positions (exempt and non-exempt) follow the administrative calendar and are provided two days of vacation for each contract month. Non-continuous appointments require that any earned vacation be used prior to the final date of the employment period or prior to the last day of employment, whichever comes first.
Civil Service (CS)
CS Nonexempt : Civil Service nonexempt employees shall earn vacation in accordance with the following schedule:

- For the first, second, and third years of consecutive service, 12 work days in each year of service.
- For the fourth, fifth, and sixth years of consecutive service, 15 work days in each year of service.
- For the seventh, eighth and ninth years of consecutive service, 18 work days in each year of service.
- For the tenth, eleventh, twelfth, thirteenth, and fourteenth years of consecutive service, 21 work days in each year of service.
- For the fifteenth year and beyond, 25 work days in each year of service.
CS Exempt: Civil Service exempt employees shall earn vacation in accordance with the following schedule:

- For the first, second, and third years of consecutive service, 25 work days in each year of service.
- For the fourth, fifth, and sixth years of consecutive service, 26 work days in each year of service.
- For the seventh, eighth, and ninth years of consecutive service, 27 work days in each year of service.
- For the tenth year and beyond, 28 work days in each year of service.
Accruals and maximum levels for Civil Service employees are prorated based on percentage of appointment.
Vacation Payout
Effective with appointments beginning on or after July 1, 2024, an employee who transfers from a continuous benefit-accruing position to a non-benefit-accruing position or a position that received non-continuous time shall have all continuous vacation time paid out on the first available payroll following the position transfer in accordance with Policy 3.1.27 Pay Out Procedures. Vacation payouts made while an employee is still actively employed are not eligible for SURS contributions.
Escrow Vacation
An employee whose appointment FTE (full-time equivalent) is reduced shall have all continuous vacation hours in excess of the maximum allowed for the new appointment placed in escrow following the reduction in FTE. These hours will remain in escrow (unable to be used) until the appointment level is returned to its original FTE (or an FTE higher then the reduced FTE that allows for escrowed time to be transferred back into usable status), the employee takes an approved leave of absence which requires benefit time usage in order to remain in a paid status, or the employee terminates service with the University. In no case shall an employee be eligible for a payout of a combined balance of current and escrowed vacation in excess of the maximum determined by their classification, years of service (if applicable), and FTE.
Vacation During Leaves of Absence
Employees who are on paid leaves of absence will continue to earn or receive vacation in accordance with their employee classification rules. Employees who are in an unpaid status (e.g., unpaid education leaves, summer recess, personal, etc.) will cease accruing or receiving vacation for pay periods in which the employee is in an unpaid status.
