6.1.4 Use of University General Revenue Buildings and Facilities

Preface

The University has various facilities available for public meetings. Among these are the Redbird Arena, Bone Student Center/Braden Auditorium complex, Horton Field House, the Ewing Cultural Center, and the various housing complexes. For groups or persons requiring meeting facilities contact should be made with the appropriate director to ascertain whether or not meeting requirements can be accommodated. If they cannot be accommodated in the above facilities consideration will be given to the use of General Revenue building facilities in accordance with this policy statement.

Policy

In order to ensure that the priorities of the University relative to teaching, research and service are being met it is necessary for the University to regulate activities in General Revenue supported facilities and to offset housekeeping maintenance costs which are incurred. Service charges for use of General Revenue facilities will be applied based on the following categories.

Public Group

Attendees are primarily people who are not faculty/staff or students of Illinois State University.

The event is not sponsored by a University department, agency, or Registered Student Organization as part of official University business.

Bills are ultimately paid for by someone other than a University department, agency, or Registered Student Organization currently registered with the Office of Student Life.

Charges are based on event costs incurred.

University Affiliated Group

Attendees are a combination of people who are faculty/staff or students of Illinois State University and those who are not.

The event is sponsored by a faculty/staff member, or student, serving in a professional capacity such as a member of a professional organization and directly related to the mission of the University.

Bills are ultimately paid for by someone other than a University department or agency.

Charges are based on event costs incurred.

University Group

Attendees are primarily (more than 50%) people who are faculty/staff or students of Illinois State University and the event is sponsored by a University department/agency as part of official University business or by a Registered Student Organization currently registered with the Office of Student Life and Programs.

Bills, if any, are paid by a University department/agency or Registered Student Organization without reimbursement from another source.

Charges, if any, are based only on the special needs of the event.

Fiscal agent certification is required that the event meets the above criteria.

Classification of category will be made by the Office of Scheduling. Appeals and exceptions should be recorded with the Provost of his/her designee.

In addition, the University will expect the individual or groups using the facilities covered by this policy to abide by any additional policies and regulations of the specific facility.

This policy is not applicable to Bond Revenue Facilities. For regulations and policies regarding these facilities (listed in the Preface) inquiry should be made to the appropriate Director.
